Listing a Boat in YachtCloser — Step by Step
Every screen from Add Inventory to a fully executed listing agreement, with the traps called out — co-sellers, LLCs, selling broker access, Boatwizard, and the e-sign loop.
This is the full click path for putting a central listing into YachtCloser and getting it signed by both the seller and the brokerage. Follow it in order — the platform lets you save partial work, but skipping a field early is what causes a listing to stall at the publishing checklist.
Step 1 — Open Inventory
From the Helm dashboard, click the Inventory tab in the top navigation.
Step 2 — Add Inventory
On Inventory – Active you'll see your current listings. Click the green Add Inventory button in the top right.
Step 3 — Create Inventory
Choose Create Inventory (not Import Inventory) and click OK.
Step 4 — Select Brokerage
Inventory type is Brokerage. Dealer New and Dealer Used do not apply to our central listings.
Step 5 — Seller: owner or authorized agent
Under Display Options, the Owner or Agent dropdown defaults to Owner. If you are working under a power of attorney, switch it to Authorized Agent.
Step 6 — Primary seller, co-seller, and the one box you never check
- Fill the primary seller's first name, last name, and email — all three are required.
- If the Certificate of Documentation or registration shows two names (a husband and wife, for example), the boat is owned by both and both must sign. Use the Co-Seller tab and fill it out.
- Never check "Allow Selling Broker Access."
Step 7 — Company / Trust and citizenship
- Boat held in an LLC or trust: set "Display Company/Trust Name on Contracts?" to Yes, then enter the entity name and the signer's title — "Manager" is the safe default if you don't know it yet.
- If you don't know at listing time whether they have an LLC (or they plan to form one), click No. This can be changed during the closing process.
- Complete Citizenship of Seller — Citizen Of drives Coast Guard work later.
Step 8 — Vessel identity
Make, Year, and Model are required to create the listing. Everything else is required before the listing can publish to BoatWizard, but it can be filled in later — enter as much as you can now. More info is always better.
Step 9 — Listing Overview appears
Once seller info is complete you land on the Listing Overview. Click Vessel in the left rail and finish the rest of the vessel information. You will not need the Showings or Notes tabs. The Publishing tab is essentially the checklist of required fields still outstanding.
Step 10 — Vessel Information in detail
- Fill everything with an asterisk. Where there's no asterisk, fill as much as you can anyway.
- Important non-asterisk fields: Boat Name, Official / Doc # (USCG), State Title # (if the boat is paid off and they hold title), and State Reg #.
- Complete the Engines and Additional Units tabs — additional units are tenders, jetskis, and trailers.
- Specifications, Descriptions, Media, and Payoff are marked with an X — you don't need them.
- At the bottom of the page, DO NOT click "Connect to Boatwizard."
Step 11 — Terms: listing type, price, commission
- Listing Type is almost always Central/Exclusive — that means we directly represent the seller. Open means an outside broker can bring a buyer and, if they know the seller, go to them directly.
- Listing Price is required. Enter the Commission %.
- Contract Date is the date the agreement is being made; Contract Term defaults to 365 days.
- Available for Co-Broker is always Yes.
- From this point forward, always click Save before moving to the next tab.
Step 12 — Options and additional terms
Scroll down. You will never need to fill in Net to Seller, Min Commission, or Storage Fee. Additional Terms is where a pre-agreed price-reduction schedule goes — for example: "Seller agrees to a $100K price reduction after 45 days and a further $100K reduction after 90 days."
Step 13 — Amendment, exclusions, material damage
- The Amendment tab holds any change the seller wants to the standard listing agreement. Call Admin first on what types of changes are allowed.
- Exclusions: everything the seller keeps — personal items, silverware, sheets, water toys, art. If it isn't written here, it's included in the sale.
- Material Damage is a required disclosure: any serious incident since the owner bought the boat, or damage they know about from before. Boat sank, boat caught fire, etc. If you hit this situation, call Admin.
Step 14 — Documents
Go to the Documents tab and click Add Documents. Ignore the Uploads and Archives tabs.
Step 15 — Pick the templates
Check Listing Agreement. If there's an amendment, also check Amendment To Central Listing Agreement. Then click Add Documents.
Step 16 — Proof the drafts
Both documents now show as DRAFT. Click each document name and read it — this is the last cheap moment to catch a wrong date, a misspelled owner name, or a missing hull number.
Step 17 — Send for e-signature
Checkmark each document, then click eSign.
Step 18 — Send the invite to the seller
- 1In the Subject box, add "Listing Agreement" so the email is obvious in the client's inbox.
- 2Checkmark the Seller row only — you sign after they do.
- 3Click Send Invites.
Step 19 — What the client sees
The invite arrives from "Bobby Giancola via YachtCloser.com" with a link to view and sign. Tell the client it's coming and to check spam just in case — the same email comes to you when you send it to yourself later.
Step 20 — Client authenticates
Clicking the link opens an Authenticate screen. The signer requests a code, it's emailed to them, and they enter it to continue. Same flow for you when you sign.
Step 21 — The four signing steps

The signer scrolls the full agreement, then clicks Next.
- 2Equipment Disclosure
Tender included? Trailer included? Answer Yes or No accordingly, then Next.
- 3Create Signature
Type the full legal name as it should appear, confirm initials, pick a signature style.
- 4Confirm & Sign
Agree to the terms of use and click Confirm & Sign. The screen shows how many signatures and initials were applied.
Step 22 — Signed confirmation
The signer sees a Complete screen and can view or email themselves a copy. Tell clients to save it for their records — once all parties sign, everyone receives the fully executed document.
Step 23 — You get notified, then you sign
You receive a "Listing Agreement – Signed" email naming the boat, the party who signed, and the document. Click the link back into YachtCloser, go to Documents, and send it to yourself to sign.
Step 24 — Sign as Listing Broker Authorized Signer
Back in the eSign dialog, the Seller row now reads eSigned. Check the Listing Broker Authorized Signer row, select your name from the dropdown, and Send Invites. Then sign it the same way the client did.
Step 25 — Checking status and resending
You can always return to Documents, press eSign, and read the Status column: eSigned with a date means done, "invite sent" means it's still outstanding. Resending pushes the invite back to the top of a client's inbox when they've lost it.
Step 26 — Fully executed
Documents now show SIGNED with a completion date and the listing status flips from PENDING to LISTING. Boom — fully executed listing agreement. Now sell it.
- Save before leaving every tab once you're past the Vessel step.
- Use the Co-Seller tab whenever the COD or registration shows two owners.
- Read both documents in preview before they leave the platform.
- Call the client when you send the e-sign invite and tell them to check spam.
- Call Admin on amendments and on any material damage disclosure.
- Don't check Allow Selling Broker Access — ever.
- Don't click Connect to Boatwizard at the bottom of the Vessel page.
- Don't fill Net to Seller, Min Commission, or Storage Fee.
- Don't sign as the brokerage before the seller has signed.
- Don't leave exclusions verbal — if it's not typed in, it's included in the sale.
